Feature Guide: Grant Discovery & Pipeline

Overview

The Grant Discovery and Tracker modules form the front end of GrantMaster’s grant lifecycle. Discovery helps you find funding opportunities; the Tracker helps you manage your pursuit of those opportunities through to award or rejection.

Grant Discovery

Purpose

Search a curated database of global funding opportunities from foundations, government agencies, and multilateral organizations. The platform aggregates opportunities from multiple sources and enriches them with AI-assisted matching.

Page Tabs

The Discovery page (/grant-discovery) has three tabs:
  • Search — Browse and filter the opportunity database
  • Recommendations — AI-matched opportunities ranked by organizational fit
  • Deadlines — Upcoming close dates with severity indicators
Three view modes are available: Grid (cards), List (compact rows), Table (virtual-scrolled data table).

Use Cases

  • Weekly Prospecting: A Grants Manager runs saved searches every Monday to review new opportunities
  • Targeted Search: An Admin searches for climate adaptation grants above $500K in East Africa
  • Team Collaboration: A Manager shares a promising opportunity with the proposal writing team for assessment

Best Practices

  • Complete your Organization Profile and Classification — this directly improves AI matching quality
  • Create saved searches for your core focus areas and check them weekly
  • Dismiss irrelevant opportunities to improve future AI recommendations
  • Use the AI Assistant to quickly assess whether an opportunity is a good organizational fit

Limitations

  • The opportunity database depends on automated scrapers and manual curation — coverage varies by region and sector
  • Smart matching scores are advisory, not definitive — always review eligibility criteria manually
  • Historical award data may be incomplete for smaller or newer funders

Grant Tracker

Purpose

A CRM-style board for tracking every funding opportunity your organization is pursuing. The Tracker provides visibility into your prospect portfolio, team assignments, and revenue forecasting.

Page Tabs

The Tracker page (/grant-tracker) has four tabs:
  • Pipeline — Kanban board with drag-and-drop stage transitions
  • Deadlines — Deadline severity visualization (overdue, within 7 days, within 30 days)
  • Analytics — Conversion rates, deal metrics, and stage performance
  • Archive — Won, lost, and dead grants for historical review

Use Cases

  • Portfolio Review: Senior leadership reviews the full pipeline weekly to assess organizational funding trajectory
  • Proposal Coordination: A Manager assigns proposal sections to writers and tracks completion
  • Forecasting: Finance uses weighted pipeline totals to project future cash flow
  • Funder Debrief: After a rejection, the team logs lessons learned in the activity log

Best Practices

  • Move entries between stages immediately when status changes — stale pipelines undermine forecasting
  • Assign a single owner per pipeline entry to ensure accountability
  • Log every funder interaction in the activity log to build institutional memory
  • Review lost entries quarterly to identify patterns and improve win rates
  • Use pipeline analytics to set realistic targets for your fundraising team

Limitations

  • Probability scores are manual estimates — the platform does not auto-calculate based on historical win rates
  • Pipeline entries cannot be merged — if you discover duplicates, archive one and note the other
  • Converting a pipeline entry to an Active Grant is irreversible
  • Pipeline stages are fixed (Prospect, Preparation, Submitted, Won, Lost, Dead) — custom stages are not currently supported

Note: Discovery & Pipeline are Admin-only features by default. Managers can view pipeline data but cannot modify entries without Admin delegation.
