Getting Started with GrantMaster

This guide walks you through your first experience on the platform — from accepting an invitation to navigating the dashboard and completing initial setup.

1. Accepting Your Invitation

When an administrator adds you to an organization, you will receive an email invitation with a unique link.
  1. Click the invitation link in your email.
  2. Sign in using your email and password, or use Google SSO if your organization has enabled it.
  3. Complete your profile — add your display name, job title, and preferred language.
  4. You will be redirected to the Dashboard with your assigned role already configured.
Tip: If you do not see an invitation, check your spam folder. Invitation links expire after 7 days — ask your Admin to resend if needed.

2. Understanding the Dashboard

The Dashboard is your home screen. It is customized based on your role:

Key Dashboard Areas

  • Stat Cards: High-level metrics (active grants, budget consumed, pending approvals)
  • Activity Feed: Recent actions across the organization
  • Quick Actions: Shortcuts to common tasks (log time, submit expense, create project)
  • Widgets: Configurable tiles that Admins can add or rearrange per role

3. Navigating the Platform

The left sidebar provides access to all platform modules. Items visible depend on your role and permissions.

Command Palette

Press Cmd+K (Mac) or Ctrl+K (Windows/Linux) to open the Command Palette. It provides:
  • Quick navigation — jump to any page by name
  • Create actions — instantly create projects, expenses, contacts, and more
  • Context actions — relevant actions for your current page

4. Initial Setup (Administrators)

If you are the first Admin for your organization, complete these steps:

Step 1: Organization Profile

Go to Settings > Organization and configure:
  • Organization name, logo, and description
  • Sector classification (NGO type, geography, SDG alignment)
  • Fiscal year settings and default currency

Step 2: Invite Your Team

Go to Team > Invite and send invitations:
  • Enter email addresses and assign roles (Admin, Manager, or Member)
  • Users will receive an email with a sign-up link
  • Track invitation status (Pending, Accepted, Expired) in the Team list

Step 3: Create Your First Project

Go to Projects > New Project and complete the wizard:
  • Set the project name, description, and date range
  • Assign a project manager and team members
  • Configure the budget with line items
  • Link to an active grant if applicable

Go to Settings > Integrations to connect:

5. Key Concepts

Organizations (Tenants)

GrantMaster is multi-tenant — each organization is completely isolated. Your data is never visible to other organizations. If you belong to multiple organizations, use the organization switcher in the sidebar header.

Roles and Permissions

Your role determines what you can see and do. The platform uses a capability-based permission system rather than simple role checks. See the Role-Based Guides for details on what each role can access.

Grants vs. Projects

  • Grants represent funding sources — the money coming in from donors and funders.
  • Projects represent the work — the activities, deliverables, and outcomes your organization executes.
  • A project can be funded by multiple grants, and a grant can fund multiple projects.

Journals vs. Expenses

  • Journals (Journals) track time — how many hours staff spend on each project.
  • Expenses track money — financial disbursements against projects or grants.

6. Getting Help

  • Command Palette (Cmd+K): Quick access to any feature
  • AI Assistant: Click the AI chat icon for contextual help, grant writing assistance, and data analysis
  • Notifications: Bell icon in the header shows pending approvals, deadlines, and system alerts
  • Contact Admin: Reach out to your organization administrator for access or configuration questions
