Role Guide: Member

Overview

Members are the day-to-day users of GrantMaster. They log time, submit expenses, access documents, and contribute to project deliverables. Members have focused access designed for productive daily work without the complexity of administrative features.

What Members Can Do

Time Tracking (Journals)

Member Dashboard

The Member dashboard shows:
  • Today’s time — hours logged today vs. your daily target
  • This week — weekly hours summary with project breakdown
  • Pending items — draft expenses or unsubmitted time entries
  • My tasks — tasks assigned to you with deadlines
  • Recent activity — recent changes on your projects

Common Member Tasks

1. Logging Time Daily

Option A: Quick Entry
  1. Click Log Time from the dashboard or go to Journals
  2. Select the project, category, and enter hours
  3. Add an optional description of work completed
  4. Click Save
Option B: Timer
  1. Click the Timer icon in the header
  2. Select the project and category
  3. Start the timer — it runs in the background
  4. Stop when done — the entry is created automatically
Option C: Weekly Matrix
  1. Go to Journals > Weekly View
  2. Fill in hours across the project × day grid
  3. This is fastest for entering a full week at once

2. Submitting Monthly Journals

  1. At the end of each month, go to Journals > Monthly Submission
  2. Review all entries for completeness and accuracy
  3. Check the total hours vs. expected hours
  4. Sign the effort certification statement
  5. Click Submit for Approval
  6. Your Manager reviews and approves or returns for revision

3. Submitting an Expense

  1. Go to Expenses > New Expense
  2. Enter the details:
    • Amount and currency
    • Category (Travel, Supplies, Equipment, etc.)
    • Project allocation
    • Date of the expense
    • Description of what was purchased and why
  3. Upload a receipt (photo or scan)
  4. Click Submit
  5. The expense enters the approval queue for your Manager

4. Accessing Documents

  1. Go to Documents (Document Brain)
  2. Browse folders or use the search bar
  3. Click a document to view details, version history, and metadata
  4. Click Download to get a copy

5. Using the AI Assistant

  1. Click the AI chat icon in the header (or Cmd+K > “AI Assistant”)
  2. Ask questions in natural language, for example:
    • “How do I submit a travel expense?”
    • “Help me write a progress update for the maternal health project”
    • “What are my pending tasks?”
  3. The assistant has context about your organization’s data and your current page

What Members Cannot Do

Tips for Members

  • Log time daily — it is much harder to recall what you did last week than what you did today
  • Submit expenses promptly — attach receipts while they are still clear and available
  • Check your dashboard each morning — it shows pending items and upcoming deadlines
  • Use the timer for meetings and focused work — it captures exact durations
  • Submit monthly journals early — waiting until the last day creates a rush
  • Use AI-assisted journal generation if you forget to log daily — it suggests entries based on your patterns (but always review before submitting)
  • Ask the AI Assistant before asking a colleague — it can answer most platform questions instantly

Permissions Summary

Members have focused access for daily work: time logging, expense submission, document access, and task updates. They cannot manage grants, projects, compliance, or organizational settings. For the complete permission matrix, see the Permission Matrix.
